Job Title: Deputy Clerk of School Board

Immediate Supervisor: Clerk of the School Board
General Description:
The Deputy Clerk of the School Board provides administrative support to the School Board Chair and
members of the School Board in collaboration with the Clerk of the School Board and performs all duties
of the Clerk of the School Board in the absence of the Clerk.
Essential Duties and Responsibilities:
- Acts as the Clerk of the School Board in the absence of the Clerk of the School Board
- Attends meetings of the School Board and School Board committees
- Assists with meeting logistics, and publishes meeting notices and agendas
- Provides meeting room setup and the breakdown and coordinates meals and refreshments
- Prepares materials and resources for meetings
- Assists in the coordination of all Freedom of Information Act requests in accordance with applicable state laws
- Assists with the management of business and clerical responsibilities of the Clerk’s Office as assigned by the Clerk
- Coordinates and attends School Board committee meetings, drafts meeting agendas, and drafts/maintains/distributes minutes of such meetings as assigned by the School Board Clerk
- Assists the Clerk of the School Board in the preparation of correspondence, speeches, legal notices, reports, and briefing documents for the Board Chair and other Board members, as needed
- Assists with maintaining BoardDocs, the School Board database for School Board materials
- Manages the School Board budget
- Performs other related duties as assigned by the Clerk of the School Board
Qualifications:
- Associate's degree required; bachelor’s degree strongly preferred; political science, public, educational, or business administration or a related field preferred
- A minimum of five years of experience in public school administration or local government administration is preferred
- Availability to work outside of traditional business hours to attend evening Board meetings and other Board related events/activities is required
- Prior experience with FOIA is strongly preferred
- Demonstrated ability to maintain high degrees of discretion, adaptability, and confidentiality
- Prior experience in supporting local government bodies or boards in Virginia is preferred
- Exceptional verbal and written communications skills, including proficiency with contemporary business software applications and multimedia resources
- Strong organizational skills, including keen attention to detail
- Ability to establish and maintain effective working relationships with School Board members, the Superintendent’s Leadership team, school administrators, central office staff, parents, community/business representatives, and government officials
- Bilingual/fluency in Spanish preferred
