General Description:
The Administrative Office Associate performs a broad range of administrative tasks to support the operations of the Enrollment, Placement, and Planning Department. This role serves as a key point of contact for internal and external stakeholders, providing exceptional customer service related to the department's workstreams, which include preschool applications, open enrollment and selective admissions applications, preschool through 12th-grade registration,
and home instruction compliance.
Essential Duties and Responsibilities:
- Deliver excellent customer service to internal and external stakeholders via centralized email accounts and a dedicated support line for staff and families, ensuring prompt and professional communication
- Provide in-person support for families completing preschool applications, student registrations, school applications through Enroll RPS, and home instruction procedures
- Maintain and organize both electronic and physical records for students participating in home instruction
- Assist families with inquiries regarding home instruction through email, mail, and in-person communication, ensuring the division adheres to all state and local laws
- Coordinate logistics and execution for professional development sessions, student information events, and other large-scale departmental events, in support of department workstreams
- Develop and maintain positive working relationships with personnel across schools, central office departments, and community partner organizations
- Create and maintain organizational systems for departmental records
- Support payroll, accounts payable, and accounts receivable processes
- Assumes responsibility for own professional growth and development by keeping current with the literature and new research findings
- Contributes to team efforts by accomplishing related tasks as needed or assigned.
Qualifications:
- Bachelor’s Degree required
- Strong alignment with the mission of Richmond Public Schools and a demonstrated interest in public education
- Experience in public education systems is preferred
- Knowledge of office procedures, practices, and equipment, with the ability to quickly learn and adapt to the department’s operations
- Proficiency in Google Workspace, Microsoft Office, and related applications, with experience in creating spreadsheets, mail merges, and other productivity tools
- Willingness to learn new technologies
- Strong communication, organizational, and public relations skills
- Ability to establish and maintain effective working relationships with others and adapt to changing priorities
- Proven ability to manage multiple tasks simultaneously, organize work efficiently, and operate with minimal supervision
- Demonstrated ability to use sound judgment, initiative, and professionalism in all tasks
- Ability to collaborate with school administrators, teachers, counselors, and community partners
- Prior work experience in a public school division is preferred
- Bilingual/fluency in Spanish preferred
