General Description:
The Payroll Associate performs a wide range of administrative and payroll functions involved in the processing of the district’s payroll, including responding to payroll inquiries and maintaining confidential employee records to facilitate the efficient operation of the payroll department. The Payroll Associate also provides exemplary customer service to both internal
and external stakeholders.
Essential Duties and Responsibilities:
• Composes correspondence, answers the telephone, and helps manage emails for the department.
• Creates, organizes, and maintains employee payroll records, including payroll files stored off-site.
• Reviews, verifies, and researches information and/or documentation (e.g. time sheets, absences, etc.) to ensure accuracy and adherence to procedure before processing.
• Ensures accuracy of system changes to employee records for authorized personnel actions, deductions, tax, and direct deposit changes.
• Analyzes and researches various payroll reports.
• Reconciles general ledger accounts associated with payroll processing.
• Prepares, processes, and reconciles remittances to appropriate agencies/third-party vendors for funds withheld from paychecks including benefits, payroll taxes, and court orders.
• Works closely with the Talent Office regarding employee demographic information, benefit deductions, and employee timekeeping.
• Collects and maintains hard copy documentation of payroll files and/or payroll calculation reports for internal or external audits.
• Aids with the collection and tracking of authorized signature forms by location.
• Provides general office support, and coverage for the Administrative Office Associate during lunch, and as otherwise needed.
• Writes, updates, and maintains comprehensive policy and procedures manual for assigned tasks.
• Maintain confidential and sensitive information at all times.
• Assumes responsibility for own professional growth and development by keeping current with the literature and new research findings.
• Contributes to team efforts by accomplishing related tasks as needed or assigned.
Qualifications:
• High School diploma or its equivalent is required. An associate degree in a related field is preferred.
• Must demonstrate the ability to perform mathematical computations with speed and accuracy
• Excellent customer service, planning, and time management skills
• Outstanding interpersonal, teamwork, and communication skills
• Analytical, problem-solving, and organizational skills, including a keen attention to detail
• Proficiency in using Microsoft Office products, Google applications, and other business solutions software
